What this notice covers
This notice covers the Rotunda product demonstration. If we sent you a link to the demo directly, that link contains a short reference code that lets us see that the demo was opened and roughly how much of it was looked at. We record this so we can tell genuine interest from an unopened email, and so we know which parts of the product people find worth their time.
What we record
- The reference code in your link, where one was included. The code is a short random string. It does not contain your name, your employer, or your email address.
- Which pages and steps of the demo were opened, and in what order.
- When the session started and how long it lasted.
- The page that referred you, if any.
- Your browser type and version, from the user-agent string your browser sends.
- An approximate country, derived from your IP address. We store the IP address only as a one-way hash, which we use to spot automated scanning. We do not keep the address itself.
We hold the list that maps a reference code back to the person we sent it to. That list is ours and is not shared.
What we do not do
- We use no third-party analytics, advertising or tracking pixels. Everything described here is first-party.
- We set no cookies and write nothing to your device for this purpose. The session reference exists only in your browser's memory and is discarded when you close the page.
- Anything you type into the demo — figures, notes, ratings — stays in your browser for that session only. It is never sent to us, never stored, and is discarded when you refresh or close the page. The demo runs on fictional sample data throughout.
Why we are allowed to do this
Our lawful basis is legitimate interests under Article 6(1)(f) UK GDPR. The interest is understanding whether a business-to-business product is of interest to the professional contacts we approached, and improving it accordingly. We have weighed this against your interests: the data is limited to product usage, it is not combined with any profile, it is not used for automated decision-making, and it is not shared or sold.
You can object at any time. Email hello@rotundahq.com and we will stop recording against your reference code and delete what we already hold for it. You do not need to give a reason, and it will not affect anything else.
How long we keep it
Demo usage records are deleted 12 months after the session. We delete them sooner on request.
Your rights
You have the right to ask for a copy of what we hold about you, to have it corrected or deleted, to restrict how we use it, and to object to our use of it as described above. Email us and we will respond within one month.
